INFORMATION TECHNOLOGY & COMMUNICATION

After watching the video, answer the following questions.

  • What is Managing information within and outside the organization?

    • Business managers need to learn how to manage IT like people and products, the challenge is more organizational than technological

    • It's one of the greatest concerns of modern businesses to learn how to handle IT in and out of the company, with the insights these two create they manage to solve problems.

    • Managing information outside the organization focuses on things like public outrage, news media - any kind of controversy that leaked information might create.

    • Managing the information inside a company gives a clear idea of what the inner issues might be.

  • What is the importance of it?

    • It helps the leaders of the organization to maintain control of aspects like public image, damage control and sales.

  • What are the new technologies that companies have to manage for communications purposes?

    • Technologies:

      • Fax machines: flexible and inexpensive form of email, it’s more limited since not all companies incorporate them in present days.

      • Telecommuting: allows home office (comes as a result of multiple technologies such as telephones, computers, internet, etc), it’s been used more often since the beginning of the pandemic caused by COVID-19.

      • Internet: group of computer networks, now dictates the way people interact on a daily basis (emails and teleconferences were born with it.)

        • Email: more efficient version of mail that is used electronically, reduces paper waste, is inexpensive and saves time.

      • Databases: they include libraries, catalogs, or online facebook - they contain extremely useful data that can be accessed at any given point.

      • Online information services: they are used to communicate with others and obtain information, download programs and exchange ideas.

      • Commercial online information services: these services give out private information and therefore need to be purchased or pay a commission every month.

      • Cellular telephones: people argue that they will at some point replace computers, and are now a standard business tool.

      • Electronic meetings: reduces the cost of face to face meetings and makes it easier to access people that are scattered in different locations.

      • Videoconferences: takes advantage of all the technological advances we have, such as pictures, videos, graphics, etc.

  • Describe the role of technological discoveries throughout history.

    • The beginning of IT was caused by the telegraph and telephone and in the 60s the companies started using computers, but at the time programing was hard and needed to be done from scratch and having hardware was very expensive. Local area networks and satellite technology increased the use of IT in companies.

  • What is the importance of technologies in the globalized business world?

    • Because we are living in a globalized world, the market has become more and more competitive - this means that our base customers know what they want and will find the most efficient business to get the work done for them (taking aspects like prices and customer service into consideration), in order to maintain a business competing it is absolutely necessary to stay informed and try to incorporate the needs of new generations and adapt to relevant changes that might affect the market.

  • Describe the use of the technologies in the communication field.

    • Technologies in the communication field ensure that messages are being passed on in a secure, efficient and clear manner making it easier for employees to remain informed on the actions the company is taking or will take in the near future.

  • What are the Do’s and Don’ts of Electronic Communication?

    • Do’s (in business)

      • Use it as a way to communicate quickly with another worker

      • Be responsive to the messages you recieve.

      • Send messages related to business topics

      • Be responsible for the content

      • Double check the content

      • Organize messages carefully

    • Don’ts (in business)

      • Use it innapropiedly.

      • Flood the system with junk mail.

      • Send confidential information

      • Use lengthy information

  • How have the Information & communication technologies changed the structure of business organizations?

    • It has loosed the strings of the traditional company, making it unnecessary to be in the same location and people often telecommute now instead of seeing each other face to face; because of the nature of technology it is now easier to distribute messages and market to different clienteles - this increases profits. Like any other tool, technology also has cons, one of them being that a lot of people might feel isolated if a company relies purely on technology, since they are not comfortable incorporating the use of it into their routines; workers might also feel like they are under more stress since they have to be more responsive and the lines between time off and work hours blur.

Since technology is a new tool that keeps innovating, we need to find a way to use it ethically and thread with care to ensure the dignity of our workers, one of the threats is the invasion of privacy that inevitably comes with tech.

  • What are the legal and Ethical implications of the use of technologies? Explain in detail.

    • Because information and technological communication is a very new concept, we need to tread carefully in its use - it has great potential to do great things but it also entails dangers that threaten the dignity of it’s users (in this case workers of the company).

    • One of the main concerns that comes with the ethical implications is the invasion of privacy, in today’s era people have the option to share their personal information on the internet, but there are those who would rather keep a low profile and actions like collecting large amounts of information, maintaining a lot of files, monitoring the employees in a excessive manner or reading each other’s personal emails threatens the right of privacy that people have, and in these cases legal action can be taken.
